Set up an Alert Task
To set up an Alert task
1.
Open the IDOL server configuration file in a text editor.
2.
[MyAlertTask]
3.
Set Module to Alert, to identify the task as an Alert task.
Module=Alert
4.
Set the Host parameter to the IP address or name of the machine that stores the IDOL server agent index. Set the Port parmaeter to the port to use to query this agent index. For example:
Host=123.4.5.67
Port=9000

NOTE The Port is always the ACI port, and not the index port.
5.
Fields=Text,Title
6.
Specify the fields in the IDOL server agent index that you want to query with the document fields you just specified. For example:
FieldMappings=DRECONTENT,DRETITLE
7.
SMTPServer=smtp.mycompany.com
SMTPPort=25
SMTPSendFrom=administrator@mycompany.com
SMTPSendFromUsername=administrator
SMTPSendFromPassword=secret
SMTPSubject=Alert: new document DREREFERENCE
8.
Template=AlertTemplate1.txt
AttachmentTemplate=AlertTemplate2.txt
9.
Specify the names of any values that you want to use in the template using the TemplateNames parameter. Specify the fields whose values must replace these values using the TemplateMappings parameter. For example:
TemplateNames=DOCUMENTNUMBER,DOCUMENTDATE
TemplateMappings=Number,DREDATE

10.
Specify any other parameters that you want to apply to your Alert task. For details on available parameters, see the online help. For example:
AttachFileFromReference=true
AlwaysSendAttachment=true

11.
Save the IDOL server configuration file and restart IDOL server for your configuration changes to take effect.

Example
In the following example, an Alert task automatically alerts users to new content that matches their agents. It uses the following configuration:
[MyAlertTask]
Module=Alert
Host=123.4.5.67
Port=9000
Fields=DRECONTENT,DRETITLE
FieldMappings=DRECONTENT,title
SMTPServer=smtp.company.com
SMTPPort=25
SMTPSendFrom=administrator@mycompany.com
SMTPSendFromUsername=administrator
SMTPSendFromPassword=secret
SMTPSubject=Alert: new document DREREFERENCE
AttachFileFromReference=true
AlwaysSendAttachment=true
Template=AlertTemplate1.txt
AttachmentTemplate=AlertTemplate2.txt
TemplateNames=DOCUMENTNUMBER,DOCUMENTDATE
TemplateMappings=Number,DREDATE
Every time IDOL server performs this task on an incoming document, it queries the Agent index of the IDOL server specified by the IP address and ACI port in the Host and Port parameter. It sends a query using the value of the new document’s DRECONTENT field to query the DRECONTENT field, or the value of the new document’s DRETITLE field to query the title field:
action=Query&Text="DRECONTENT_field_value":DRECONTENT OR "DRETITLE_field_value":TITLE
IDOL server uses the SMTP server smtp.company.com to send an alert e-mail to the users who own agents that match the new document.
The e-mail subject title is Alert: new document <document_reference>. It has a from (and reply-to) address of administrator.mycompany.com. The e-mail follows the template in AlertTemplate1.txt. The document of interest is attached to the e-mail using the template specified in AlertTemplate2.txt.
IDOL server replaces any instance of the values DOCUMENTNUMBER and DOCUMENTDATE that occur in the e-mail templates by the contents of the document’s Number and DREDATE fields respectively.
